Front Office Assistant (Full-Time) - Position Summary

The Front Office Assistant reports to the Executive Director, Office Manager and Program Manager.  The candidate serves as the first point of contact for the organization and plays a vital role in supporting daily operations. This position provides administrative, clerical, and customer service support in a mission-driven, non-profit environment. The ideal candidate is friendly, organized, detail-oriented, and committed to supporting the organization’s mission and community.

Key Responsibilities

Front Desk & Client Support

  • Greet and assist visitors, clients, donors, and volunteers in a professional and welcoming manner
  • Answer and direct phone calls, emails, and general inquiries
  • Provide basic information about programs, services, and events

 

Administrative Support

  • Perform general office duties including filing, data entry, copying, scanning, and mail distribution
  • Maintain organized physical and digital filing systems
  • Schedule appointments and manage calendars as needed
  • Assist with preparing correspondence, reports, and forms for Executive Director, Program Director and Office Manager

 

Data & Records Management

  • Enter and update client, donor, or program data accurately
  • Maintain confidentiality of sensitive information
  • Support compliance with organizational policies and procedures
  • Operations & Coordination
  • Assist with inventory and ordering of office supplies
  • Support meetings, workshops, and events (setup, sign-in sheets, materials)
  • Coordinate with staff, volunteers, and external partners as needed

 

Additional Duties

  • Provide support to other departments as assigned
  • Perform other related duties to support organizational goals

 

Qualifications (Required)

  • Two years or more college business courses or equivalent
  • Strong verbal and written and communication skills
  • 1–2 years of administrative, front desk, or office experience
  • Strong interpersonal and customer service skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook) or Google Workspace
  • Familiarity with CRM systems, experience with Donor View is a plus but not required
  • Excellent organization, time management, and communication skills
    Preferred
  • Experience working in a non-profit or mission-driven organization
  • Bilingual abilities (if applicable to the community served)
  • Familiarity with database or case management systems

Work Schedule & Compensation

  • Full-time, [e.g., Monday–Friday, 8:30 AM–5:00 PM]
  • Compensation: Dependent on experience
  • Benefits include health insurance, paid time off, holidays, and other benefits per organization policy
